The preventative maintenance “Settings” page is where you can add a new preventative maintenance schedule or view and edit existing schedules. To get to the “Settings” page, click “Preventative” under the “Maintenance” menu. Then click “Settings” in the upper right-hand corner.
You will now see all existing preventative maintenance schedules, along with their asset category and subcategory, when preventative maintenance is due, and when the schedule was created in Woven.
Viewing and Editing a Schedule
To view or edit a schedule, click on the schedule name. You will be taken to the schedule’s page where you will see “General Information” for the schedule and “Checklist Items.”
The “General Information” section includes:
- Name - The name of the preventative maintenance schedule.
- Category - The asset category that preventative maintenance is being done for. For example, let’s say that the selected preventative maintenance schedule will only apply to my gym’s treadmills. Based on my Asset Settings, treadmill assets are part of the “Cardio” asset category, so for this field, I’d select “Cardio.”
- Subcategory - The asset subcategory that preventative maintenance is being done for. Continuing with the example, let’s say that my gym’s treadmill assets have “Treadmill” as their asset subcategory, so for this field, I’d select “Treadmill.”
- Assign to Position - Select the position you would like this preventative maintenance schedule to be assigned to. The positions defined in the drop-down are team members who have been identified as one of these positions in the location feature.
- Assign to Team Member - Select the team member you would like this preventative maintenance schedule to be assigned to
- “Schedule Type” - This toggle controls whether preventative maintenance is triggered by the number of days that have passed since the last preventative maintenance, by the present month, or by an asset’s metered usage.
- Locations Targets - Select locations that this preventative maintenance schedule is applicable for.
Preventative Maintenance Schedule Types:
- Triggered by Month: If the preventative maintenance “Schedule Type” trigger is based on a month, you will be asked what month you would like the preventative maintenance to be due. Once you choose the month, use the slider to enter how many days after the first of that month the preventative maintenance is overdue.
- Triggered by Days: If the “Schedule Type” trigger is based on days, there are two ways you can indicate when preventative maintenance for the assets is due and overdue.
- Via the “Preventative Maintenance (PM) Due” slider, click the first white dot and move it left or right to dictate when preventative maintenance will become due since the last time preventative maintenance was completed. Next, move the second dot to dictate how many days after the last preventative maintenance was completed that the asset is overdue for its next round of preventative maintenance.
- The second way to set up preventative maintenance using the “Days” option is to select the “Show Inputs” option and then manually enter the number of days that a schedule will become due and overdue.
- Triggered by Metered Usage: With this “Schedule Type,” you can use the asset’s metered usage to trigger when preventative maintenance is due and overdue.
Adding a Maintenance Checklist
In the “Checklist Items” section, list each step a Maintenance Tech will need to address to complete the preventative maintenance for this kind of asset. To add a checklist item:
- Click “+ Add Checklist Item.” A new text box will appear.
- Replace the “New Checklist Item” text with the new checklist item (e.g., “Replace the belt.”).
- Click the X in the upper right-hand corner to leave the checklist content page. The new checklist item will automatically save.
- Repeat steps #1 – 3 for each action a Maintenance Tech should take to complete the asset’s preventative maintenance.
Adding a Preventative Maintenance Schedule
- Click “+ New Schedule.”
- Enter the name of the new preventative maintenance schedule (e.g., “Quarterly Elliptical Maintenance”).
- Select the asset category requiring this preventative maintenance (e.g., Cardio).
- To further differentiate the assets requiring this kind of preventative maintenance, choose an asset subcategory (e.g., “Elliptical”).
- Select the “Schedule Type” you would like to use.
- Select when you would like the preventative maintenance to be due and when it will be overdue for the “Schedule Type.”
- Click the green “Add Schedule” button.
To add a checklist of what needs to be done to complete the asset’s preventative maintenance, click the preventative maintenance schedule name and then follow the above directions on adding “Checklist Items.”
