The Team Member Documents tab is where you can view a team member’s employment documents and records including their W-4, any completed digitized onboarding documents, I-9, unsecured documents, and secure documents.
There are up to four tabs that appear on a team member’s Documents tab: Digital Docs, Employee I-9, Unsecure Docs, and Secure Docs.
TROUBLESHOOTING: Depending on your account’s adopted features, you may only have the Unsecure Docs and Secure Docs tabs.
Digital Docs
- The Digital Docs section is where you will find the completed W-4 for a team member as well as other documents signed during the digital onboarding process.
- This section will also show you any outstanding documents that may require the team member’s signature or acknowledgement.
- To view completed digital onboarding documents, click on the name of the document you wish to view. You will be taken to a secured document portal where you will be able to view the document the team member completed during the digital onboarding process.
- Digital documents can be sent to a team member who is completing the Woven onboarding process. Refer to the “Onboarding” article to view the onboarding process for a new team member
Employee I-9
- In the “Employee I-9” tab, you are able to see the status of a team member’s I-9 as its being filled out.
Stages of the I-9:
- When the team member logs into Woven for the first time, they will fill out and sign their I-9 form during the digital onboarding process.
- The manager will then need to log into Woven, go to the team member’s page and complete their portion of the I-9.
- The manager will then want to scan the team members ID into the “Secure Docs” tab. Once they have done that, they can click “ID Scans Uploaded to Secure Docs.” A little pop-up message will ask if you have uploaded the ID scans to the secure docs. If you have completed that step, click confirm.
- If all of the above steps have been completed, you can click “Mark Complete” under Overall Status” column. A little pop-up message will ask you to confirm that all parts for the I-9 have been completed.
- To view, the team members completed I-9, hover over the document and click the download button. The file will download as a PDF to your computer.
- The I-9 can be sent to a team member to complete during their Woven onboarding. Refer to the “Onboarding” article to view the onboarding process for a new team member.
Unsecure Docs and Secure Docs:
- Unsecured documents are documents that are safe for any team member to view, and secured documents are documents that for liability purposes should be restricted from access. Examples of an unsecured document might be the employee’s picture, letters of achievement, or employee suggestion forms. Examples of a secure document might be onboarding forms, corrective actions, personally identifying information, legal documents, termination forms, sexual harassment claims, etc.
To upload a new unsecure document:
Drag and drop files to upload or click to browse. Unsecured documents will be listed below the upload box.
To edit the title of the document:
- Click on the document name
- Enter the new title.
- Press enter.
- Your changes will be automatically saved.
To download a copy:
- Hover over the title of the document.
- A download button will appear to the right if a document is available for download.
- Click the button to download the file.
- Documents will only download as the same file type that was uploaded; this will not convert your documents into other file types.
To upload a new secure document:
You can drag and drop files to upload or click to browse. Secure documents will be listed below the upload box
