The “Supply Management” page lists the status of orders (open, pre-ship, shipped, and received) by inventory. Select an “open” order to enter in the number of units of each supply needed for the inventory. To get to the Supplies “Orders” tab:
- Click “Supplies” under the Management Menu.
In the “Supply Management” page, you will see orders with the status of:
- Open: Enter the supplies needed to restock the supplies inventory.
- Pre-Ship: The requested supplies are ready to be processed by the team member who manages supply ordering for inventories.
- Shipped: The requested supplies have been shipped to the inventory (or location).
- Received: The shipped supplies have been received by the inventory (or location).
Think of a supply order as a shopping list. When you recognize that your supplies are running low, go to your “open” supplies order form to indicate how many of each supply type is needed.
To add to a supply order:
- Check to see if your location has an “open” order. If it does, select it by clicking the order number. Otherwise, click “+ Add Order;” then select your inventory and choose the “Add Supply Order” button.
- Add the order quantity for each supply item needed.
When the Supplies Manager at corporate or the Multi-Unit Owner is ready to review and process an open order, they should:
- Select the “open” order they want to review and process.
- Click the yellow “Actions” button.
- Click “Process Order & Create New” to change the status to “pre-ship.” Automatically, Woven creates a new “open” supply order for the next round of ordering for this inventory.
To process the pre-ship order, the Supplies Manager or the Multi-Unit Owner should:
- Click the pre-ship order they want to process.
- For each item that was ordered, add the quantity that will be shipped.
- Click the yellow “Actions” button.
- Click “Ship Order” then confirm your decision to ship the order which will change the status of this order to “shipped.”
When the order is received, the team member who received the order should next confirm the amounts of each item that was received. To do so:
- Click the shipped order that was just received.
- Add the quantity of each item that was received from the shipment(s).
- Click the yellow “Actions” button.
- Click “Receive Order” and then confirm your decision to receive the order. The status of this order is now “Received.”
PRO TIP: Add any relevant notes about the items received to “Shipment Notes” (i.e., damaged supply items, quantity received is less than what was shipped, and wrong items received).
On the “Orders” tab, the Supplies Manager or the Multi-Unit Owner can also perform bulk actions to process submitted orders more efficiently:
- They can process all open orders, which will cause all “open” orders to be in a “pre-ship” state, preventing managers from adding to the order. This action also automatically creates new “open” orders for these inventories so that inventory managers can continue to track what supplies they’ll need for their next order.
- They may export all “pre-ship” orders, which will result in a downloaded Excel file listing how many of each supply all inventories have requested. This sheet makes it simple to quickly order the requested supplies.
