A Scheduled template automatically creates the same Task(s) on a recurring basis instead of waiting for you to trigger it manually or for a specific event to happen. It's the right choice for recurring checklists, like opening/closing routines, weekly cleaning schedules, or inventory counts.
Step 1: Start a new template
- Go to Tasks > Settings, then open the Templates tab.
Click Add Task Template (Brand-level users will see Add Brand Task Template).
Step 2: Name it and choose "Schedule"
- Enter a Name and Description.
- Under "What will cause this template to execute and create Tasks?" choose Schedule. (Note: this option requires the Pro Tasks tier — accounts without it will see a "Pro" badge here. Reach out to your account Admin to learn more about Tasks Pro)
Click Create. You'll land on the template's detail page.
Step 3: Set the recurrence
On the detail page, under Template Execution, configure:
- Schedule frequency — Daily, Weekly, or Monthly.
- Weekly: check off which day(s) of the week it should run (an "All / None" shortcut is available).
- Monthly: choose either a specific day of the month (e.g., "Day 1 of the following month(s)") or a relative day (e.g., "The First Monday of the following month(s)"), then check off which month(s) it applies to.
Executes At — the time of day it runs. This uses the Location's time zone when the Team has one set, and otherwise falls back to the account's time zone.
Step 4: Decide how it targets people
Choose Executes Per Targeted: Team or Team Member:
- Team creates one shared set of Tasks per Team, each time the schedule runs.
- Team Member creates an individual copy of the Tasks for every eligible person, each time the schedule runs.
Then set which Teams (and, if you chose Team Member, which Positions) are eligible — either All or a Specific list.
Step 5: Add the Task(s) to the template
Click Add task to template for each Task the schedule should create. For each one you can set:
- Name, description, and priority
- Due date, expressed as a number of hours or days after the Task is created
- Who it's assigned to — a Position, a type of position, specific Team Members, a schedule/work assignment, or some combination
- Whether proof of completion is required (photo, notes, and/or signature)
- Sub-tasks or checklist items
- Which of these fields the assignee is allowed to edit later (name, description, due date, reassigning it, or deleting it)
Then set which Teams (and, if you chose Team Member, which Positions) are eligible — either All or a Specific list.
Step 6: Enable it
Click Enable. Before this will go through, the template needs:
- At least one Task with an assignee
- At least one Team selected (and a Position, if targeting Team Members)
A complete schedule. For Weekly, at least one day of the week checked; for Monthly, at least one month checked (Daily has no extra requirement)
Once enabled, there's nothing further to do — Woven creates the Task(s) automatically at each scheduled occurrence, for everyone currently eligible at that time. You can still open the template any time to adjust the schedule, tasks, or targeting; changes apply to future runs.
Tip: as with Manual templates, click Preview before enabling to see who the Tasks would currently go to.
