An Event template automatically creates Task(s) the moment something specific happens in Woven to a Team Member — rather than running on a schedule or waiting for you to trigger it. It's the right choice for standardized onboarding/offboarding checklists and similar workflows that should always happen the same way when a particular event occurs, like New Hire Onboarding or Termination.
Step 1: Start a new template
- Go to Tasks > Settings, then open the Templates tab.
Click Add Task Template (Brand-level users will see Add Brand Task Template).
Step 2: Name it and choose "Event"
- Enter a Name and Description.
- Under "What will cause this template to execute and create Tasks?" choose Event. (Note: like Schedule, this requires the Pro Tasks tier — accounts without it will see a "Pro" badge here.)
Click Create. You'll land on the template's detail page.
Step 3: Choose which event(s) trigger it
On the detail page, under Template Execution, set On Woven Event to one or more of:
- New Hire
- Position Change
- Termination
- Primary Location Change
The template fires as soon as any of the selected events occurs for an eligible Team Member, as long as the template is enabled.
Step 4: Set which Teams and Positions are eligible
Unlike Manual and Scheduled templates, there's no "Executes Per Targeted: Team vs. Team Member" choice here. An Event template always runs against the individual Team Member the event is about. What you do control is Teams and Positions Eligible for Template: choose All or a Specific list of Teams and Positions. If the affected Team Member's team or position isn't on the eligible list, the event won't create Tasks for them.
Step 5: Add the Task(s) to the template
Click Add task to template for each Task the event should create. The fields are the same as for Manual and Scheduled templates (name, description, priority, due date, proof of completion, sub-tasks, and which fields the assignee can later edit), with one difference worth calling out: under Assignee(s), you'll see a Subject Team Member: Yes/No toggle. Setting this to Yes assigns the Task directly to the Team Member the event happened to. You can also assign on top of, or instead of, by Position, Location Assigned Position, specific Team Member, or work assignment.
Step 6: Enable it
Click Enable. Before this will go through, the template needs at least one Task, at least one eligible Team, and at least one event type selected.
Once enabled, there's nothing further to do — Woven creates the Task(s) automatically every time an eligible Team Member has one of the selected events happen to them. A couple of things that differ from the other two template types: there's no Manual Trigger button (it only ever fires on the event itself), and there's no Preview option either, since there's no fixed audience to preview against ahead of time.
