Manager Guide on Woven’s Call In Feature
Managers can submit an call in (i.e., a missed shift, tardiness, leaving early) on behalf of a team member by following the below steps:
1. Under your “MANAGEMENT” section, click on the “Schedules” option.
2. Select the “Call in” tab.
3. Select the green “+Attendance Record” link which will open a pop-up window.
4. Select the team member for whom you want to enter an attendance record using the drop-down menu.
5. Click the “Continue” button which will open a larger pop-up window.
6. In this pop-up window, provide the:
a. Date of the missed shift or the date of when the team member was tardy or left work early
b. Type of missed shift (select “Tardy,” “Full Shift,” or “Left Early”)
c. Choose the reason for the missed shift, tardiness, or leaving early from the drop-down menu
d. If available, enter the date for when the team member will make up the shift (this field will only appear if team member’s position configurations require this)
PRO TIP: You can customize which reasons appear as options and choose the positions whose team members will see the prompt to enter the date for when they can make up the shift. For more instructions on how to set this up, see the Attendance Tracking Configuration Settings article.
7. Click the “Save” button to submit the team member’s attendance record.
After entering the attendance record, you can see it on your list of attendance records (MANAGEMENT section’s “Schedules” page under the “Call In” tab). Here, you can further indicate (1) the date that the team member made up the shift, (2) whether the missed shift was made up by the employee, and (3) whether the missed shift was covered by another team member.
How can managers remove call in (i.e., missed shifts, tardiness, leaving early)?
1. Under your “MANAGEMENT” section, click on the “Schedules” option.
2. Select the “Call In” tab.
3. Hover over an attendance record to see a red trash icon to the right and select the icon to remove the record.
How can managers view a team member’s attendance records?
There are two ways that managers can view a team member’s attendance records.
For a quick overview of a team member’s attendance records:
1. Under your “MANAGEMENT” section, click on the “Schedules” option.
2. Select the “Attendance Tracking” tab.
3. Select the “By Team Member” view.
4. Scroll to find your team member. Team members are listed in alphabetical order by the first name. Under the team member’s name, you’ll see a list of their attendance records.
To see both a team member’s attendance records and the impact of their missed shifts on their wages:
1. Under your “MANAGEMENT” section, click on the “Team Members” option.
2. Select the name of a team member.
3. Click on that team member’s “Schedule” tab.
4. Click on the “Call In" tab.
5. You should now see the team member’s attendance records and the impact of their missed shifts on their wages. View the number of missed shifts and the financial impact of them for: the last 180 days, the last 30 days, 31 – 60 days, 61 – 90 days, 91 – 180 days.
PRO TIP: Review this page with team members who routinely miss shifts to show the financial impact of their actions.
How can managers better understand absenteeism at their location(s) and its impact?
To better understand absenteeism and its impact on the business, managers can:
1. Under your “MANAGEMENT” section, click on the “Schedules” option.
2. Select the “Call In” tab.
3. Select the dark blue “Insights” button which will take you to the “Call InInsights” page.
4. On this page, you can:
a. View the number of missed shifts over the last 180 days for each location by hovering over each color in the pie chart.
b. View the number of missed shifts over the last 180 days for each position by hovering over each color in the pie chart.
c. View the number of missed shifts for each day of the week over the last 180 days. Days with the more missed shifts show a darker color.
d. View the estimated lost revenue from team members missing shifts for: the last 30 days, 31 – 60 days, 61 – 90 days, 91 – 180 days, and the last 180 days.
e. By selecting a box with a time period (step d), you can then view that time period:
i. List of team members with missed shifts and the impact on revenue from those missed shifts.
ii. List of team members who have picked up shifts.
