Managers have the ability to update team members’ availabilities on their behalf.
To update a team member’s availability on their behalf:
- Select “Schedules” under the “Management” menu
- Click the “Availability Management” tab
- Find the team member whose availability you would like to update. Team members who have submitted their availability will have a green “Availability Approved” label.
- Select the team member’s name.
- Select the dark blue “View Team Member” button that appears just below their availability status.
- Woven will navigate you to that team member’s “Availability” tab on their Team Member’s page.
- Select the green “+ Change Availability” text and select “Yes” on the pop-up message to confirm your decision to change that team member’s availability.
- Above the team member’s Weekly Availability Chart, enter values for:
- Preferred Number of Shifts: enter the preferred number of shifts they would like to work per week. Select the underlined “0” next to the “Preferred Number of Shifts” field to enter a value (you must enter at least “1” and no more than “7” shifts). Click outside the textbox to save your entry.
- Number of Hours: enter the number of hours they have agreed to work per week. Select the underlined “0” next to the “Number of Hours” field to enter a value (you must enter at least “1” and no more than “40” hours). Click outside the textbox to save your entry.
- To indicate when they are available to work, first, click the green “Available” button then select each box on their Availability Chart that they’re available to work. As you select each box, it will turn green.
- To indicate when they are not available to work, first, click the gray “Not Available” button then select each box on their Availability Chart that they’re not available to work. As you select each box, it will turn gray.
- To indicate when they are on call to work, first, click the blue “On Call” button then select each box on their Availability Chart that they’re on call to work. As you select each box, it will turn blue.
PRO TIP: To remove a cell’s color, just click on it.
PRO TIP: When indicating when they’re available, not available, and on call to work, select a cell then drag across cells to make them all the same color rather than individually clicking on cells.
- If you’d like to share any comments regarding their availability, select the “Not Provided” text next to the “Notes” field and enter a comment. Click outside of the textbox to save the comment.
- To submit and immediately accept this team member’s availability, click the yellow “Actions” button then choose the “Submit/Accept Availability” option.
- Confirm your decision to submit and immediately accept this team member’s availability by selecting the “Submit” button on the pop-up message.
