Rather than team members submitting their own weekly availabilities, managers can submit availabilities on their behalf.
To do this:
- Select “Schedules” under the “Management” menu
- Click the “Availability Management” tab
- Find the team member who hasn’t yet submitted their availability and for whom you want to add their availability on their behalf. Team members who haven’t submitted their availability will have a red “Availability Missing” label.
- Select the team member’s name.
- Select the dark blue “View Team Member” button that appears just below their availability status.
- Woven will navigate you to that team member’s “Availability” tab.
- Select the green “+ Add Availability” button
- Below the Weekly Availability Chart, enter values for:
- Below your Weekly Availability Chart, enter values for:
- Desired # of Shifts: enter the preferred number of shifts you’d like to work per week.
- Desired # of Hours: enter the number of hours you’ve agreed to work per week.
- Effective Date: select the date in which you would like this availability to go into effect. Dates too near to today's date may not be available to select. Your account primary admin can make adjustments to these settings.
- Below your Weekly Availability Chart, enter values for:
- To indicate when they are available to work, first, click the green “Available” button then select each box on their Availability Chart that they’re available to work. As you select each box, it will turn green.
- To indicate when they are not available to work, first, click the gray “Not Available” button then select each box on their Availability Chart that they’re not available to work. As you select each box, it will turn gray.
PRO TIP: When indicating when they’re available and not available, select a cell then drag across cells to make them all the same color rather than individually clicking on cells.
- If you’d like to share any comments regarding their availability, select the “Notes” field and enter a comment. Click outside of the textbox to save the comment.

- To submit and immediately accept this team member’s availability, click the blue “Submit/Accept Availability” button.
- Confirm your decision to submit and immediately accept this team member’s availability by selecting the “Submit” button on the pop-up message.
