Positions
Positions equate most closely with Team Member's Title and are used to categorize employees as well as determine a team member's experience within Woven. You have the ability to configure Positions in Woven differently. When configuring a Position, you can make certain documentation required, set up time off, and attendance. On the Positions page, you can see if a license is required if insurance is required, if a background check is required, and the associated skills for a Position.
To add a Position:
1. Navigate to Account Setting, click the down carat next to your name, and then select Account Settings.
2. On the Account Settings page click on the Positions tab, and then click “+Add Position”
3. Enter in the name of the Position and then save.
Once the Position has been created, it will take you to the configuration page for that Position. You may also get to the configuration page for a Position if you click on the Position name. The Position configuration page is broken up by sections that you can configure. Depending on the features you have adopted, you may or may not see some sections.
Under “Standard Position Configuration” you can:
- Edit the Position name.
- Require a license for that Position.
- Require an insurance record for that Position.
- Require a background check record for that Position.
- Designate a Position's color, which will be used to help identify that Position in Woven.
- Manage the Onboarding Documents that a team member will receive for this Position.
- Designate which Skills are not required, desired, or required for that Position.
- Edit the Position job description.
Under “Time Off Position Configuration” you can:
- Manage the days off allowed per year for a team member that is full-time.
- Manage the days off allowed per year for a team member that is part-time.
- Require Shift Coverage if Not Using PTO: Requires a team member to identify another team member that is coving their shift if they are not using PTO or are not eligible for PTO.
- Max Time Off Request on Same Day: This is where you can manage how many team members with the same position can require time off for the same day.
- Add a position-specific question when a team member is requesting time off.
Under “Attendance Position Configuration” you can:
- Manage the estimated minimum revenue lost for when a team member misses a shift.
- Manage the estimated maximum revenue lost for when a team member misses a shift.
- Manage the estimated minimum lost wage for when a team member misses a shift.
- Manage the estimated maximum lost wage for when a team member misses a shift.
- Manage if you want to prompt a make-up date when a team member is submitting a missed shift.
- Manage if you want to automate shift coverage notifications. This means that team members with this position will be notified when there is a missed shift, so they are able to pick up the missed shift.
- Manage if you want to automate shift coverage same-gender notification. This means that team members with this position as well as the same gender will be notified when there is a missed shift, so they are able to pick up the missed shift.
- Manage if you want to automate shift coverage the same location notification. This means that team members with this position and at the same location will be notified when there is a missed shift, so they are able to pick up the missed shift.
Under “Incident Position Configuration” you can:
- Toggle on if this position can be assigned to an incident. That means that when an incident report is generated, a team member with this position can be assigned to manage the incident.
Under “Work Order Position Configuration” you can:
- Enable if you want this Position to be able to be assigned as a Maintenance Manager for a location.
- Enable if you want this Position to be assigned to a work order.
- Enable if you would like to have the "Assigned to Filter" in "Work Orders" to default to self.
PRO TIP: If this Position is set as the Maintenance Manager, the toggle for “Is Assignable to Work Orders” must be “Yes.”
Under “Visible Inventories” you can:
- Allow this Position to view location inventories for parts and supplies.
- Allow this Position to view warehouse inventories for parts and supplies.
- Allow this Position to view vehicle inventories for parts and supplies.
