When you publish a policy for the first time, Woven will prompt all targeted employees to acknowledge the policy the following day. When you add new team members to Woven and their position and team is targeted, Woven will prompt them to acknowledge the policy upon their first login.
You may choose additional ways to send out policy acknowledgments in Woven:
- You may prompt targeted employees to acknowledge a policy every so many days. To do this, first select the policy to navigate to its “General” tab. Find the “How often do you want employees to have to acknowledge this policy” question (see snapshot below), and select the “They have to repeatedly acknowledge this policy every….”. You must then enter the number days (e.g., enter “30” to prompt employees every 30 days).
- You may prompt targeted employees to acknowledge a policy each time you have updated the policy. To do this, first select the policy to navigate to its “General” tab. Then select “Yes” to “If you make any changes to this policy in the future, do you want Woven to ask your targeted team members to re-acknowledge the updated policy?” (see snapshot below).
- You may prompt a single employee to acknowledge this policy. Managers typically do this after a disciplinary meeting then document the employee re-acknowledging a policy. To do this, select “Team Members” from under the “Management” menu, and select the team member. Click on that team member’s “Policies” tab. Select the yellow “Actions” button and click the “Send Policy for Acknowledgement” option. Select the policy that you want to send to the employee by clicking its “Select” button. Then click the “Send” button to confirm your decision to send this policy for the acknowledgement to the team member.
