In the “Categories” tab, you will see all of the asset categories that have been added into Woven. You have the ability to add asset categories either one at a time or in bulk. To add asset categories:
- Click “Assets” under the Maintenance menu.
- Click “Settings” in the upper right-hand corner.
- You can either click “+Add Category” or “Bulk Add” to add a category.
- If you add a category by clicking “+Add Category,” a pop-up window will ask you to enter the name of the category. Once you have entered the name, click the “Add Category” button. You will be taken to the newly created category’s page.
-
- If you want to add more than one category, click “Bulk Add.” A pop-up window will ask you to copy and paste the list of categories into a free text box. There should be one category per line. To complete the setup, you will need to click into each category to update that category's information.
Once the category has been added, you will either be taken to the categories page, or you will need to click into the newly added category. Once you are in a category, you will want to complete each applicable section.
General Information
To complete the “General Information” section:
- Indicate the default work order priority of the category. If a work order is submitted for an asset with this assigned category, the work order ticket will be prioritized based on which priority you pick here.
- Indicate if you want to prompt a log time. This field will dictate whether a maintenance tech needs to log time spent working to address a submitted work order.
- Indicate if assets with this assigned category should show HVAC fields under the asset’s “General” tab.
-
- HVAC Type
- HVAC Sub-Type
- HVAC Size
- HVAC Manufactured Date
- HVAC Heat Fuel Type
- HVAC Fuel Type
- HVAC RTU Number
- HVAC Age
- Indicate the type(s) of assets that this category can fall under (equipment, mechanical, vehicle, and/or facility).
Subcategories
To complete the “Subcategories” section, click “+Add Subcategory” or “Bulk Add.”
- If you clicked “+Add Subcategory,” a free text box will appear under “Subcategories,” where you can enter the subcategory name. Each time you click “+Add Subcategory,” a new text box will appear below the previous text box that was added.
- If you clicked “Bulk Add,” a pop-up window will ask you to copy and paste the list of subcategories into a free text box. There should be one subcategory per line. Click the “Add Subcategories” button when done.
Metered Usage Configuration
The “Metered Usage Configuration” section allows you to record an asset's usage (e.g., the number of hours a tanning bed has been used or the number of miles on a treadmill). To set up metered usage for a subcategory:
- Click “+ Add Metered Usage Configuration” and enter the metered name (e.g., hours, miles).
- Enter the metered warn value. The metered warn value signals when routine maintenance is soon due for the asset that has reached a usage milestone.
- Enter the metered max value. The metered max value signals when routine maintenance is now due to the asset that has reached a usage milestone.
PRO TIP: Subcategories help you further categorize assets. Some categories won’t need subcategories but for other categories containing a variety of assets, further defining their assets through the use of subcategories will help to better organize assets and to make the analysis of the life cycle of assets more fruitful. As an example, let’s consider a gym wanting to track its cardio assets. They define “Cardio” as an asset category and “Treadmill,” “Bike,” “Elliptical,” “Rower,” etc. as the “Cardio” category’s subcategories.
